This privacy statement explains how MvM handles your personal data. MvM will use maximal efforts to carefully handle your personal data. This privacy statement is intended for our volunteers (including board members and members of the MvM supervisory board), donors, FLJ donors, newsletters subscribers, website visitors and partners in Asia.

2. Which personal data does MvM process
We process the personal data that you actively provide to us, such as:

  • Name
  • Adress
  • Email adress
  • Telephone number
  • Passport details
  • Bank account number
  • Additional information you provide to us with requests, registrations or participation in activities.


3. Purpose and lawfulness of processing
MvM may not request, collect or process your personal data unless there is a legal basis for the processing; meaning that it should be lawful under the GDPR. Below we indicate for which purposes MvM processes your personal data and which legal basis applies. We process your personal data to achieve the following purposes:

  • Service provision (dienstverlening) and communication. To answer questions, process applications and carry out services. Legal bases: necessary for the performance of a contract or pre-contractual measures, or consent (and you have the right to withdraw this consent at any time).
  • Newsletters and updates. To periodically send information, newsletters and invitations for activities. Legal basis: consent (and you have the right to withdraw this consent at any time).
  • Analytical purposes and website optimisation. Through analytical cookies (for example google analytics) and other techniques, we analyse the use of our website so that we can improve and optimes it. Legal bases: legitimate interest, provides the processing does not harm the interests of fundamental rights and freedoms of the data subject, or consent (and you have the right to withdraw this consent at any time).
  • Compliance with laws and regulations. To comply with requirements (for example, tax and administrative retention obligations) under laws or regulations. Legal basis: legal obligation.


4. Retention periods
We do not retain your personal data longer than necessary for the purposes for which they were collected. The GDPR does not specify concrete retention periods for personal data. Other laws may contain retention periods that MvM must comply with.

  • Communication and registration data. Will be retained as long as you are a volunteer or donor.
  • Data for legal obligations. Will be retained according to the periods set by law. The tax retention requirement is 7 years.
  • Analytical data. These are processed anonymously or only stored temporarily.


5. Sharing of personal data
 Your personal data will only be shared with third parties when:

  • This is necessary for the performance of our services (for example IT service providers). In that case, we ensure a signed processor agreement.
  • We are legally obliged to share certain data with government agencies and supervisors.


MvM does not provide data to third parties for commercial purposes without your explicit consent.


6. Use of cookies and similar technologies

  • Analytical cookies. Our website uses Google Analytics within the guidelines set by the Data Protection Authority. IP addresses are anonymised and information is used exclusively in anonymous, aggregated form for statistical purposes and website improvement. More information can be found on Google's website.
  • YouTube Cookies. For playing videos, we use YouTube's privacy'-enhanced mode. This means that YouTube only collects data when you actually play the video. This use of cookies contributes to an optimal user experience and helps with the technical and analytical optimisation of our website.


7. Your rights
Under the GDPR, you have the following rights:

  • Access. The right to know which personal data relating to you, we process.
  • Correction. The right to have incorrect or incomplete data modified.
  • Deletion. The right to have your personal data deleted (subject to mandatory retention obligations under laws or regulations).
  • Restriction to processing. The right to restrict processing when you disagree with the processing or the accuracy of the data.
  • Data portability. The right to receive your personal data in a structured, commonly used and machine-readable format and to transfer your data to another data controller.
  • Objection (bezwaar). The right to object the processing of your personal data based on our legitimate interest.
  • Withdrawal of consent. If the processing is based on your consent, you have the right to withdraw this consent at any time without affecting the lawfulness of processing prior to such withdrawal.

8. Security of personal data
We take all appropriate technical and organisational measures to protect your personal data against loss, theft or any form of unlawful processing. This includes, amongst other things the use of encryption methods, access restrictions and a secure infrastructure.


9. Transfer of personal data to third countries
The personal data of certain volunteers are included in a grant agreement with our partners in Asia. We will limit these data in the grant agreement to a minimum and provide them to the extent necessary for the implementation of the relationship with the relevant partner. In the grant agreement we ask the partner in Asia to treat personal data confidential.

10. Changes to this pricavy statement
We reserve the right to periodically amend this privacy statement so that it always remains in line with the latest legal developments and our internal processes. The most current version of this statement is published on the website.

If you have questions about this privacy statement or if you believe that the processing of your personal data is not in accordance with the GDPR, please contact us via the contact details mentioned above. In addition, you have the right to file a complaint with the Data Protection Authority.
